How Digital Check-In for Events Boosts Security and Simplifies Operations
Event planning is a pretty complicated task where organizers have to juggle between a long list of responsibilities, from managing guest lists to logistics. Amidst this, event check-in processes play an important role in creating a tone for an event. Digital check-in for events is a game-changing innovation that enhances both security and efficiency at events.
The Need for Event Registration Process Re-design
One of the products created and offered by my current place of work, is event registration software, where clients can create events and have delegates register for them. However, some usability issues were identified with the process that delegates completed in order to register for an event, as the system used outdated design principles and this resulted in a number of abandoned bookings and form completion errors. I analysed the user flow and established that were were a few areas that could be improved upon in order to create a smoother experience.
The key issues were:
- The progress bar was uniniviting and made users feel that they were not allowed to continue with the process.
- The steps in the progress bar were not consistently labelled.
- There was no error forgiveness or opportunity to back and correct any mistakes.
- The form fields used unecessary placeholder text.
- The form did not explain to users why it was requesting personal data like phone numbers.
I re-designed the process, correcting the identified user issues and streamlining the system to feel easy and quick to complete.
What Is Digital Check-in For Events?
Digital check-in refers to the management of attendees when they arrive for an event through technology. Attendees register online, and their details are stored electronically. Confirmation or validation of attendance is done upon arrival using a system of digital check-in for events like QR codes, RFID tags, or NFC devices. Digital check-in systems can be executed on several platforms such as kiosks, mobile apps, or even handheld devices used by event staff.
Enhanced Security: How Digital Check-In Makes Events Safer
Here’s how digital check-in for events enhances security and ensures the safety of the attendees:
- Accurate Attendee Verification: Digital check-in systems verify the identity of attendees through preregistered details. Features such as a QR code, NFC, or biometric authentication ensure that only authorized individuals can gain entry.
- Real-Time Monitoring: Digital check-in for events helps organizers monitor check-ins in real-time by providing instant insights into who has entered the venue and when.
- Eliminating Counterfeit Tickets: Digital systems often integrate with secure ticketing platforms that use encrypted QR codes, making it nearly impossible to replicate or forge tickets.
- Customizable Event Access Management: For events with restricted areas, scanning a badge can determine whether someone is permitted to enter specific zones, preventing unauthorized access.
Boosting Operational Efficiency
Efficiency is the key to organizing successful events. Traditional event guest check-in methods often result in long wait times, errors, and increased workload for staff. Digital check-in for events makes these processes much easier, speedier, error-free, and efficient for participants and event organizers. Here is how efficiency is taken to the next level:
- Faster Entry Process: The attendees can scan a QR code, tap on an NFC badge, or have their RFID wristband read in seconds. This fast verification drastically reduces waiting times and greatly assures smooth entry, even during peak hours.
- Real-Time Analytics: Digitization makes everything automated and trackable at any time. Every time a new registration comes in, the information provided can be instantly put into the right places and uploaded into a database.
- Reduced Human Error: Reducing human labor not only reduces the possibility of errors caused by the fatigue of doing repetitive tasks but you’ll also end up saving more money.
Contactless Registration and Sustainability
Contactless event registration is a fantastic way of checking in large numbers of guests in a small amount of time. As well as being safe and secure, contactless registration at events speeds up arrivals and minimises contact. Prior to the event, we can work with you and link your data to our check-in system so you can offer fast, hassle-free contactless event registration. A QR code can then be sent to guests in advance, offering them a “fast-track” check-in pass. If you don’t want to use badges, no problem! Delegates can be sent a personalised email with an e-ticket that can be added to their Apple or Google Pass Wallet.
Furthermore, digital event registration supports sustainability. Sustainable events have contactless and paperless interactions and digital registration meets these ideologies. Eliminating the need for physical tickets and printed guest lists reduces environmental waste. As a result, visitors will probably not think twice about joining your event because a paperless society is environmentally friendly.
