Case Study: 2-Day Multi-City Hybrid Event for a Leading System Integrator

A leading system integrator in India (One of the top Cisco partners) entrusted us with the task of organizing a multi-city hybrid event. This was a 2-day annual ‘sales and pre-sales’ event taking place in Noida, Mumbai, and Bengaluru on the same days. This meant speakers and attendees could participate in person from their cities and also virtually connect with others across these three locations.

Key Challenges and Solutions

Executing such a complex event involved several logistical and technical hurdles, including managing multiple venues, schedules, and local teams simultaneously and providing a consistent in-person event experience across three locations. With participants connecting from various types of devices, there was a broad spectrum of audio and video inputs to contend with, posing a significant challenge.

The solution involved the following steps:

  • Venue Selection: Identified and booked suitable venues in Noida, Mumbai, and Bengaluru, ensuring they had the necessary facilities, specifically a stable internet connection.
  • Platform Integration: Selected Webex as the event platform due to its robust features supporting live streaming, networking, and interactive sessions.
  • Audio-Visual Setup: Installed two screens at each venue: one facing the stage and the other facing the audience. This setup ensured that whenever a speaker or audience member from one location spoke, they were visible on the screens in the other two cities.
  • Technical Support: Employed AV converters and interfaces to bridge compatibility gaps and used a video switcher to consolidate inputs.

Event Results and Participation Data

The event was a significant success, with attendees in all three locations experiencing a consistent and high-quality event with clear audio-visuals and smooth transitions. The following statistics highlight the reach of the event:

  • Noida: 100 in-person attendees
  • Bengaluru: 60 in-person attendees
  • Mumbai: 50 in-person attendees
  • Virtual: 130 virtual attendees from various cities
  • Total: 340 participants
  • Engagement: Over 85% of virtual attendees engaging in sessions and Q&As
  • Satisfaction: Post-event surveys indicated a 95% satisfaction rate

Understanding the Four Types of Hybrid Events

Hybrid events are two-sided, consisting of a virtual part and an in-person part. There are four types of hybrid events that organisers can choose from:

  1. True hybrid: Offers a simultaneous in-person and virtual experience. This format fosters a seamless integration of both audiences, allowing for real-time interaction and networking opportunities between all attendees.
  2. Live studio: Uses state-of-the-art technology to deliver a polished, broadcast-quality experience. Event organizers pre-record keynotes and presentations, which are then streamed live on the hybrid event platform.
  3. On-demand: Events that start out as live events that are recorded and shared with attendees after. This offers the convenience of accessing event materials when it best suits attendees’ schedules.
  4. Hub-and-spoke: Comprises a central “hub” event with multiple “spoke” locations connected through a hybrid event platform. This format is ideal for large-scale conferences or exhibitions.
